OBJECTIVES

1. The principal activity of the committee is the organization of the annual Studio Tour in the Pontiac region, wherein the public is invited to visit the artists in their working environment.

2. The committee will institute programs in the community specifically directed towards youth in an attempt to encourage their active participation in the arts. (Day with an artist workshops etc.).

TOUR COMMITTEE

The committee will be comprised of those members of the Pontiac Artists' Association (P.A.A.) who will directly participate in the Tour.

All participants in the Tour must be members in good standing of the Pontiac Artists' Association and must abide by its Charter rules.

OPERATION

Five meetings will be held during the year. Attendance will be mandatory.

- Start Up meeting;
- Sponsorship Drive meeting;
- Brochure Distribution meeting;
- Wrap-up meeting; and
- New members selection meeting.

Mutually satisfactory dates will be set as far in advance as possible.

IMPLEMENTATION

Each member will be responsible for completing or assisting with one or more jobs as outlined in the Job List. First year members will specifically be required to be involved with obtaining sponsors, brochure distribution, road sign hanging along with any other suitable jobs. Members will be responsible for supplying bilingual documentation for use in promoting the Tour (images, bios, contact information, mediums)

The executive of the committee will be made up of five positions: Spokesperson, Secretary, Treasurer, Chairperson and Publicity Person.

ACCOUNTABILITY

All expenditures must be approved by the P.A.A. Board of Directors.

The committee will report regularly on its progress, as requested by the P.A.A. Board of Directors.

THE WRITER'S CORNER (if applicable)

Participants in the Writer's Corner should be recently published authors representing a variety of genres, and have some connection to the Outaouais or the Ottawa Valley area either by residency or subject matter. The committee will appoint a member writer who will select participants using suggestions from the committee, publishers, books sellers, peers, writers' associations and community residents.

ELIGIBILITY FOR THE TOUR

Any artist may apply to participate, and, when possible, priority will be given to local artists.

Applicants must meet the following criteria:

1. The artist must have a consistent body of work, showing professionalism and a level of excellence in his or her medium.

2. The artist must have or aspire to gallery and professional experience.

3. All work must be original and made by the artist.

4. The work must include out of production (one of a kind) work. Emphasis during the jury process will be placed on this work.

5. Growth and change must be evident in the work.

6. Artists must become members of the Pontiac Artists Association and subscribe to the goals and objectives as stated in the constitution and be prepared to work with the group as necessary to plan, implement and promote the Tour. Five meetings will be held during the year. Attendance will be mandatory.

7. Artists will be asked to submit an application to the selection committee. This submission must include current slides (preferred). If slides are unavailable the submission can include digital images on CD. The images must be accompanied by a numbered image description list.  Application should include a bio and Curriculum Vitae (résumé of past exhibitions and activities), a description of their home studio location and the reason they would like to participate in the Tour.

8. The decision as to where new members will exhibit: i.e. at their home studio or as a guest at an established studio, will be made by the committee in consultation with the applicant.

9. The committee, having responsibility for implementing the Tour, shall have the option at any time during the Tour year to propose the reassignment of a participant's exhibit location and to reconsider the participation of any artist for the current year. These decisions would require the majority consent of all active tour participants.

NEW MEMBERS SELECTION

The jury will be made up of those Tour participants who have participated for 2 years or more on the Tour and who plan to continue as active members. The process will consist of three stages.

Stage 1 - The jury will consider the materials submitted by new applicants and any past participants who wish to rejoin the Tour and decide whether to accept them as members of the Tour .

Stage 2 - New applicants accepted after Stage One who wish to exhibit in their home studio will be visited by a member(s) in order to ascertain the suitability of their studio.

Stage 3 - As soon as possible after selection, letters of acceptance/rejection will be sent to all applicants.

Any or all current participating artists may be asked to resubmit for jury. They will be notified of this prior to the selection committee meeting.

Guest artists and first year participants will be considered probationary and will be asked to resubmit for jury on an annual basis at the committee's discretion.

The number of participants each year will depend on the quality of new applications, the current Tour route and size, the number of available studio spaces and the number of applicants.

Participants from the previous year's Tour will be asked to state their intention to continue participating by the September selection committee meeting date. Past participants who did not participate in the previous year must submit a letter of intent to participate in the upcoming year and submit this letter prior to the selection committee meeting in September.

The Tour route and number of participants will be decided at the Selection Committee Meeting with final confirmation at the Start Up meeting.
